Running costs are regularly forgotten and often account for a third of the total amount over three years.

A fixed price with no questions asked is not a good sign. If you don't know how many page types there are, you cannot give a reliable price.

Anyone who asks about the price of a website usually gets "it depends". That's actually true, but it doesn't help anyone. This is because it depends on a manageable number of things, and these can be named.

The reason for the hesitation is different: A number without context becomes the yardstick against which everything is measured. 15,000 euros sounds like a lot if there is an offer of 3,000 euros next to it – and little if there are twenty pages, fifty texts, and a migration behind it.

That's why both are presented here: the ranges and the factors that place you within these ranges. By the end of this article, you should be able to read an offer and assess whether it is realistically calculated.

The realistic price ranges

Small B2B website, 5 to 8 pages, content from the client: 8,000 to 15,000 euros. Individual design based on a clear concept, mobile-optimized, maintenance possible via a CMS. The typical scope for service providers, law firms, and smaller companies.

Medium corporate website, 12 to 25 pages, content partially supported: 18,000 to 35,000 euros. Several service pages, reference section, blog or knowledge base, clean structure for search engines. This is where most relaunches in the upper mid-sized sector lie.

Large website with special functions: from 40,000 euros. Multilingualism, connection to existing systems, extensive databases, configurators, or proprietary calculation logic.

These ranges apply to agencies with their own concept, design, and development. Freelancers are below this, large network agencies are significantly above.

Not every page costs the same. The decisive factor is how many different page types there are. Twenty portfolio pages based on one template are significantly cheaper than five pages that are all structured differently.

The logic behind this: every new page type means concept, design, implementation, and testing. Every additional page of the same type only means content maintenance. Therefore, the first portfolio entry costs a multiple of the twentieth.

A typical B2B website gets by with five to seven page types: homepage, service page, portfolio overview, portfolio detail, about us, contact, blog article. Anyone who goes beyond this should have a clear justification for each additional type.

What this means in practice: If you want to cut costs, don't reduce the number of pages, but the number of templates. And invest early in a clean structure – that is the point where most money is tied up later.

The item that drives proposals apart the most – and the one that is least often clearly resolved in discussions.

If the content comes entirely from the client, a significant portion of the effort is eliminated. If it comes from the agency, a well-crafted page of text costs between 300 and 900 euros, depending on the depth of research. For twenty pages, that amounts to 6,000 to 18,000 euros – often more than the entire design.

This is precisely where the seemingly inexplicable differences between two proposals for the same project arise. One assumes content from the client, the other does not. Both are calculated correctly, just for different projects.

The honest recommendation: Have technical content written internally, and structure and fine-tuning done externally. Nobody knows your services better than you do. And nobody knows better than an agency what order that content needs to be in on a page.

What is often underestimated here: The internal option also costs money – just in terms of working hours instead of an invoice. Expect two to four hours per page, including coordination.

Driver 3: Individuality

Customizing a template costs a fraction of a custom design. This is legitimate and right for many companies – you just need to know what you are buying.

With a template, you get a working layout that thousands of others are also using. For a locally operating service provider whose customers come via recommendation, this is usually enough. For a company whose positioning is defined by perception and price level, it works against the business model.

So the question is not "template or custom", but: How much of your positioning is based on perception? If the answer is "little", this is the right place to save.

Rough scale: Template customization 1,500 to 4,000 euros. Custom design for five to seven page types 6,000 to 15,000 euros. The difference lies in the concept, design iterations, and what does not look standard.

Anything that goes beyond an information website costs extra – and usually more than expected. The four most common items:

Multilingualism: 30 to 50 percent surcharge. Not because of the technology, but because every page has to be maintained twice – even after the launch. Anyone planning two languages should factor in the ongoing maintenance right away.

Integration with existing systems: 2,000 to 15,000 euros. CRM, ERP, booking systems, product databases. The range depends almost entirely on whether the target system has a usable interface.

Migration of large content volumes: from 1,500 euros. Significantly more for a blog with 200 posts and an inconsistent structure. Here, it is worth clearing out beforehand instead of transferring everything.

Accessibility according to the BFSG (German Barrierefreiheitsstärkungsgesetz): 10 to 20 percent surcharge, if considered from the very beginning. Significantly more if done retroactively. For many companies, this is no longer optional since 2025.

These items belong in the briefing, not in the supplementary offer.

Almost every offer describes the construction. Hardly any describes the operation. Over three years, however, operation often accounts for a third of the total costs.

Hosting: 15 to 150 euros per month. Depending on the system and number of visitors. With hosted modular systems, this is included in the subscription; with self-operated systems, it is added.

Maintenance and updates: 50 to 300 euros per month. For systems with extensions, this is not an option, but a duty – an outdated system is a security risk.

Content maintenance: based on effort. Either internally as working hours or externally at 90 to 150 euros per hour. Anyone who does not plan for this will have an outdated website again in two years.

Further development: 2,000 to 8,000 euros per year. New service pages, additional references, seasonal adjustments. A website that is never further developed gradually loses visibility.

Calculate these four items into every offer before you compare. Otherwise, you are not comparing two websites, but two differently complete invoices.
